Role Overview

Japan Global Solutions is hiring a Documentation Assistant (Male or Female) for their Colombo 03 office. This is an excellent opportunity for a young, detail-oriented individual to build a career in international trade documentation and vehicle export administration with a Japanese company. Training will be provided, making this ideal for candidates who are eager to learn and grow in a professional, friendly environment.

Key Responsibilities

  • Prepare, process, and manage vehicle export documentation and shipping paperwork
  • Handle and organise import/export documents including invoices, packing lists, certificates of origin, and customs declarations
  • Coordinate with Japanese head office via email correspondence — drafting, sending, and responding to professional business emails
  • Maintain accurate records of all documentation, files, and correspondence in an organised filing system
  • Data entry and management using MS Excel — update vehicle records, shipment details, and export tracking sheets
  • Liaise with shipping agents, customs brokers, and freight forwarders on documentation requirements
  • Support the management team with general office and administrative tasks as required

Requirements

  • Young and energetic candidate, preferably between 20–25 years of age
  • English reading and writing abilities — essential for email correspondence with the Japanese head office
  • Experience in MS Excel and professional email communication
  • Previous working experience in a similar documentation or administrative role is an added advantage
  • Computer literacy and ability to work with digital filing systems
  • Detail-oriented with strong organisational skills
  • Ability to work independently and as part of a small, close-knit team
