Role Overview

Neptune Nova (Pvt) Ltd is seeking a motivated, detail-oriented, and dynamic individual to join their Colombo team as an Admin & Accounts Assistant. This role is critical to the smooth coordination of the company’s daily UCO collection operations and administrative functions. The ideal candidate will be organized, communicative, and proficient in MS Office with strong attention to detail in documentation and reporting.

Key Responsibilities

  • Coordinate daily Waste Oil (UCO) collection schedules with suppliers, customers, drivers, and transport teams
  • Follow up on collection issues, delays, shortages, and customer complaints to ensure smooth operations
  • Maintain accurate GRNs (Goods Received Notes), collection records, spreadsheets, and petty cash updates
  • Assist in route planning and prepare regular operational progress reports for management
  • Handle day-to-day administrative tasks including correspondence, filing, and documentation management
  • Maintain and update accounting records and assist in basic bookkeeping functions
  • Coordinate with drivers and field teams on daily collection activity reporting
  • Ensure accuracy, confidentiality, and compliance with company administrative procedures

Qualifications & Requirements

  • Passed G.C.E. O/L and A/L examinations
  • Strong organizational and problem-solving skills
  • Proficiency in MS Office (Word, Excel, and related tools)
  • Excellent communication and teamwork skills
  • Attention to detail in documentation and reporting
  • Ability to work in a dynamic, operations-focused environment
  • A proactive attitude and willingness to take initiative
